Statuses mark an assignment’s progress and provide benchmarks you can use in assignment searches, personal and program rule notifications, and management information reporting. In XactAnalysis®, statuses are either assigned by default at certain milestones (i.e. when the assignment is sent to the contractor) or they are assigned by whoever is currently working on the assignment (i.e., the adjuster or contractor, reviewer, processor, etc.).

Statuses can be used as filters in Assignment Queue® in XactAnalysis. They display on the Assignment Detail page so XactAnalysis users can track assignment activity at every step of the estimate process. Many of these statuses can also be set up as triggers for non-customisable statuses and customisable statuses. This document defines non-customisable statuses and explains what your options are regarding customisable statuses. To enable customisable statuses or statuses marked with an asterisk ( * ) for your version of XactAnalysis, please contact your product specialist or account manager.

Status (location in XactAnalysis where the status can be seen and used)

Definition: (for non-customizsable statuses) and/or where and how the status is updated.

Any status that appears in Advanced Search also appears in Advanced Search Results.

XactAnalysis statuses (non-customisable)

XactAnalysis Statuses are non-customisable statuses updated under the defined conditions. These statuses can be seen in the Assignment Detail header, the Details tab, and Advanced Search. They can also be set up as triggers for Personal Rules and Elapsed Time Rules.

*Assignment Entered Queue (Details tab)

Definition: The date and time the assignment enters the Assignment Queue. This status is only visible if an assignment enters the queue at some point. XactAnalysis updates this status in the Details tab.

*In Assign Queue (Advanced Search, Assignment Detail)

*Entered Assignment Queue (Elapsed Time Rules)

Definition: The assignment is in the Assignment Queue waiting to be assigned to an assignee (Xactimate® user). This status appears in the Assignment Detail header when the assignment enters the Assignment Queue.

*Assigned From Queue (Advanced Search, Assignment Tracking Personal Rule)

*Assigned Out of Assignment Queue (Elapsed Time Rules)

Definition: The assignment in the queue is assigned to an assignee (Xactimate user) and leaves the Assignment Queue.

Assignment Received (Details tab)

Received (Elapsed Time Rules)

Definition: The date the assignment was first received into the Assignment Queue or assigned to an adjuster or contractor.  If the assignment was sent to the Assignment Queue first, the Received date is updated when it is assigned to an adjuster or contractor. After being assigned the first time, the Received date is no longer updated (the Reassignment, Referral, or Collaboration statuses are used instead).

Notify Pending (Assignment Detail)

Definition: The assignment is assigned to an assignee (Xactimate user) and the assignee is not yet notified. This status appears in the Assignment Detail header when the assignment has been assigned (Received). The name and email address of the person who assigned it appears below this status.

Note Added in XactAnalysis SP (Elapsed Time Rules)

Definition: An adjuster or contractor hasn't added a note to an assignment by a specified time.

Notification Sent (Elapsed Time Rules)

Definition: The assignment’s assignee (Xactimate user) is notified via email/fax/phone. XactAnalysis updates the date and time of this event in the Details tab.

Assignment Delivered (Details tab, Assignment Tracking Personal Rule)

Delivered (Advanced Search, Elapsed Time Rules)

Definition: The assignment is downloaded to Xactimate by the assignee. XactAnalysis updates the date and time of this event in the Details tab.

In-Progress Estimate Returned to XactNet (Details tab)

Definition: This status appears if the recipient (Xactimate user) returns the estimate to XactAnalysis before it is complete. XactAnalysis updates the date and time of this event in the Details tab.

*First Report Uploaded (Details tab)

Definition: The first report is uploaded to XactAnalysis from Xactimate. XactAnalysis updates the date and time of this event in the Details tab.

Returned Pending (Assignment Detail)

Definition: The completed estimate is uploaded to XactAnalysis from Xactimate and is waiting to be exported to the carrier. This status appears in the Assignment Detail header.

Returned (Assignment Detail, Advanced Search, Elapsed Time Rules)

First Estimate Upload > £0 (Elapsed Time Rules)

Definition: The completed estimate is uploaded to XactAnalysis from Xactimate. This is updated automatically and appears in the Assignment Detail header.

Estimate Returned to XactAnalysis (Details tab)

Definition: The date and time the estimate is uploaded to XactAnalysis from Xactimate. XactAnalysis updates this status in the Details tab.

*Estimate Returned to Carrier (Details tab)

Definition: The date and time the estimate is returned to the carrier. XactAnalysis updates this status in the Details tab.

Corrected (Assignment Detail, Elapsed Time Rules)

Corrected Estimate Uploaded (Assignment Tracking Personal Rule)

Definition: The corrected estimate is uploaded to XactAnalysis. This status is updated automatically and appears in the Assignment Detail.

Correction Returned to XactAnalysis (Details tab)

Definition: Date/time the corrected estimate is uploaded to XactAnalysis. XactAnalysis updates this status in the Details tab.

Cancelled (Assignment Detail, Advanced Search)

Assignment Cancelled (Assignment Tracking Personal Rule)

Definition: The assignment is cancelled in XactAnalysis or via EDI by the carrier. You cancel an assignment by selecting Cancel in the Assignment Detail Select an Action drop-down menu. This status appears in the Assignment Detail header.

Cancellation Received (Details tab)

Definition: Date/time XactAnalysis receives a cancellation for the assignment. XactAnalysis updates this status in the Details tab.

Contractor/Adjuster Notified of Cancellation (Details tab)

Definition: Date/time the assignee is notified of the cancelled assignment. XactAnalysis updates this status in the Details tab.

Rejected (Assignment Detail, Advanced Search)

Assignment Rejected (Details tab, Assignment Tracking Personal Rule)

Definition: The assignment is rejected or deleted by an assignee (Xactimate user) in Xactimate. This status appears in the Assignment Detail header. XactAnalysis updates the date and time of this event in the Details tab.

*Roof Measurement Analysis Sent (Elapsed Time Rules, Assignment Detail)

Definition: A roof measurement is sent to a roof measurement provider.

*Roof Measurement Analysis Completed (Elapsed Time Rules, Assignment Detail)

Definition: A roof measurement is completed and returned from a roof measurement provider.

Job Completed excludes Not Proceeding (Program Rules, Elapsed Time Rules)

Definition: The assignment is not marked Work Not Proceeding and is marked Complete. You can exclude this type of assignment from notifications in Program Rules and Elapsed Time Rules by selecting this status.

File statuses (non-customisable)

XactAnalysis tracks assignments as having been opened, reopened, and closed. These statuses are not customisable.

Open (Details tab)

File Open (Advanced Search)

Definition: The assignment is created or received in XactAnalysis via EDI and is not yet marked Closed. XactAnalysis updates this status in the Details tab.

Reopened (Details tab)

File Reopened (Advanced Search, Assignment Tracking Personal Rule, Elapsed Time Rules)

Definition: The assignment, previously marked File Closed in XactAnalysis, is subsequently marked back to File Reopened in the Details tab. A file may be reopened if something needs to be added after the initial completion.

Closed (Details tab)

File Closed (Advanced Search, Assignment Tracking Personal Rule, Elapsed Time Rules)

Definition: The assignment is marked as closed. You close an assignment using the Assignment Detail Select an Action drop-down menu, by changing the file status to File Closed in the Details tab, or by sending an assignment update via EDI. You can also ask your product specialist or account manager to set up an internal automatic status update that marks the assignment Closed if it reaches a specified status.

Reassignment statuses (non-customisable)

These statuses indicate whether or not an assignment was reassigned.

*Reassigned (Assignment Detail)

Definition: The assignment is reassigned to another adjuster or contractor or data set. You reassign an assignment using the Select an Action drop-down menu in Advanced Search Results or Assignment Detail. A copy of the estimate is sent to the new assignee.

*Created by Reassignment (Assignment Detail)

Definition: The new assignment is created by reassignment and sent to the new assignee. This status appears in the Assignment Detail Collaboration statuses (non-customisable).

To view collaboration statuses, your company must be set up for collaboration.

In Progress (Details tab)

Definition: A collaborator is assigned to the assignment. When assigned, the collaboration is In Progress and only the collaborator may do work on the estimate.

Collaboration Checked In (Elapsed Time Rules)

Definition: A collaborator checks in the assignment after completing their portion of the estimate.

Collaboration Checked Out (Elapsed Time Rules)

Definition: A collaborator checks out the assignment to complete the collaboration.

Cancelled (Details tab)

Definition: The collaboration is cancelled.

Completed (Details tab)

Definition: The collaboration is marked complete. The date and time it was completed along with the correction amount appears in the Details tab.

XactContents Collaboration statuses (non-customisable)

To view XactContents collaboration statuses, your company must use XactContents.

Created (Details tab)

Definition: An XactContents collaboration is created.

Contents Collaboration Accessed (Elapsed Time Rules)

Definition: A Contents Collaboration page is accessed by the insured.

Contents Collaboration Initiated (Elapsed Time Rules)

Definition: A Contents Collaboration page is initiated by the assignee to enable the insured to provide information about personal property loss.

Inventory Received (Details tab)

Contents Collaboration Submitted (Elapsed Time Rules)

Definition: The policyholder submits the inventory.

Info Requested (Details tab)

Contents Collaboration Additional Info Requested (Program Rules, Elapsed Time Rules)

Definition: The adjuster requests additional information from the policyholder.

Contents Collaboration Additional Info Submitted (Program Rules, Elapsed Time Rules)

Definition: The policyholder submits additional inventory information.

Info Received (Details tab)

Definition: The policyholder submits additional information to the adjuster.

Receipts Requested (Details tab)

Definition: The adjuster requests receipts.

Receipts Received (Details tab)

Definition: The policyholder submits receipts.

*Estimate Review Queue statuses (non-customisable)

Review statuses are seen in the Estimate Review Queue )in XactAnalysis), Advanced Search, the Assignment Detail header, and the Details tab under Workflow Status. They can also be set up as triggers for personal rules. Estimates with multiple reviewers show statuses for each reviewer such as carrier (insurer) reviewed, or service provider reviewed.

To use these statuses, your company must be set up to se the Estimate Review Queue.

Entered Carrier (Insurer) Review Queue (Elapsed Time Rules)

Definition: XactAnalysis updates this status when an estimate enters the Estimate Review Queue.

Not Yet Reviewed (Details tab)

Definition: XactAnalysis updates the date and time of this event in the Details tab when the estimate is uploaded and submitted to the Estimate Review Queue.

Reviewer Assigned (Details tab, Advanced Search, Elapsed Time Rules)

Carrier (Insurer) Reviewer Assigned (Elapsed time Rules)

Definition: A reviewer is assigned. You assign a reviewer using the Estimate Review Queue Select an Action drop-down menu. XactAnalysis updates the date and time of this event in the Details tab.

Review Accepted (Details tab, Advanced Search, Elapsed Time Rules)

Definition: The reviewer accepts the assigned estimate review. The reviewer updates this status in the Details tab.

Reviewed (Details tab, Advanced Search)

Estimate Review Complete (Assignment Detail)

Review Completed (Elapsed Time Rules)

Carrier Reviewed (Elapsed Time Rules)

Definition: The reviewer marks the estimate as Estimate Reviewed in the Details tab. This status appears green in the Assignment Detail header.

Reviewed with Exceptions (Details tab, Advanced Search)

Estimate Review Complete with Exceptions (Assignment Detail)

Carrier Reviewed with Exceptions (Elapsed Time Rules)

Review Completed with Exceptions (Elapsed Time Rules)

Definition: The reviewer marks the estimate as Estimate Reviewed with Exceptions in the Details tab. The status appears yellow in the Assignment Detail header.

Estimate Rejected (Assignment Detail, Details tab, Advanced Search)

Definition: (When enabled, this status replaces Estimate Reviewed with Exceptions) The reviewer marks the estimate as Estimate Rejected in the Details tab. This status appears red in the Assignment Detail header.

Estimate Not Reviewed (Assignment Detail, Details tab, Advanced Search)

Definition: (When enabled, this status replaces Not Yet Reviewed) Date/time automatically updated in the Details tab when the estimate is uploaded and submitted to the Estimate Review Queue. This status appears blue in the Assignment Detail header.

Estimate Authorised (Assignment Detail, Details tab, Advanced Search)

Definition: (When enabled, this status replaces Estimate Reviewed) The reviewer marks the estimate as Estimate Authorised in the Details tab. This status appears green in the Assignment Detail header.

Estimate Reviewed Pending Client Decision (Assignment Detail, Details tab, Advanced Search)

Definition: The reviewer updates this status in the Details tab. This status appears yellow in the Assignment Detail header.

Estimate Authorised Pending Final Validation of Costs (Assignment Detail, Details tab, Advanced Search)

Definition: The reviewer updates this status in the Details tab. This status appears yellow in the Assignment Detail header.

Estimate Authorised Pending Pre-Start Work (Assignment Detail, Details tab, Advanced Search)

Defintion: The reviewer updates this status in the Details tab. This status appears yellow in the Assignment Detail header.

Workflow statuses (customisable)

Workflow statuses appear in the Details tab under Workflow Status and are customisable for your company. If you would like to use these statuses please contact your product specialist or account manager. For more information about the Details tab see Assignment Detail.

*Planned Inspection Date (Details tab, Advanced Search)

Definition: You update this status with a future date for an inspection. It can be updated in the Details tab.

*Ready for Assignment (Details tab)

Definition: XactAnalysis updates this status with information received from Xactimate.

*Attention Needed (Assignment Detail, Details tab, Personal Rules - Assignment Tracking)

Definition: You update this status in the Details tab.

Delay (Details tab, Advanced Search)

Definition: You update this status on the Details tab.

*Has Appointment (Details tab)

Definition: You update this status in the Details tab.

Definition: You update this status in the Details tab.

*Invoiced / Not Yet Invoiced (Details tab)

Definition: You update this status in the Details tab, and the invoice document appears in the Documents tab. This status is read-only in XactAnalysis.

*ClaimXperience Personal Property Status (Details tab)

Definition: When you click the Create Collaboration button in Assignment Details, it detects whether the associated instance is for Contents Collaboration or ClaimXperience. Then it allows you to invite users to collaborate on the project in the appropriate product.

Denial statuses (customisable)

Denial statuses appear in the Workflow section of the Details tab. You can also search on them in Advanced Search.

*Covered Loss (Details tab)

Definition: XactAnalysis updates this status with information received from Xactimate.

*Partial Denial (Details tab)

Definition: You update this status in the Details tab.

*Denied (Details tab)

Definition: You update this status in the Details tab.

Approval statuses (customisable)
