Estimate scope overlap and item inclusion algorithms

Before uploading an estimate to XactAnalysis, Xactimate checks it for any inconsistencies or possible errors. The events in the Estimate Scope Overlap and Item Inclusion category in Personal Rules are used to notify you when any of these possible inconsistencies or errors remains unresolved after the estimate is uploaded. These events vary by company. The rules below define some of the commonly used metrics for determining estimate possible problems or errors.

This event is used to notify you when any of the events in the Estimate Scope Overlap and Item Inclusion category are triggered.

Best Practices: Base Service Charges, Apply O&P?

Goal: Informs user when the number of base service charges meets or exceeds a limit specified by the carrier, and there is no overhead or profit. The user must reduce the number of base service charges, add overhead or profit, or enter a by-pass note.

Rule: Too many base service charges have been applied and there is no O&P. It is recommended that you apply O&P.

Best Practices: Labor Trades, Apply O&P?

Goal: Informs user when the number of labor trades meets or exceeds a limit specified by the carrier, and there is no overhead or profit. The user must reduce the number of labor trades, add overhead or profit, or enter a by-pass note.

Rule: Too many labor trades are included in this estimate and you have no O&P. It is recommended that you apply O&P.

Deductibles

Goal: Informs user when all applicable deductibles are zero. The user must set the deductibles, or enter a by-pass note.

Rule: All applicable deductibles are zero. It is recommended that you review the deductibles before completing the estimate.

Door Hardware (Hinges)

Goal: Make us aware of any case where common pre-fit doors are found in the same room with separate listings for hinges.

Rule: If any of these types of pre-fit doors (DOR FRXH, DOR FRXH+, DOR XC, DOR XH, DOR XH+, DOR XM) are found in the same room with finish hardware hinges (IRM HING*), then report.

Wallboard / Wallpaper

Goal: Make us aware of any case where wallpaper is removed from wallboard which is also listed as removed (wallpaper should come off with wallboard without additional effort).

Rule: If the combination of wallboard removal and/or wallpaper removal (PLA * - (Remove) + WPR * - (Remove) (Except WPR RMV)) from the walls and ceiling is greater than the square metres of the walls and ceiling (WC) in a room, and wallboard and wallpaper are both being removed from the room, then report.

Exterior Door & Lockset

Goal: Make us aware of any case where the number of exterior doors does not match the number of exterior locksets.

Rule: If DOR FRXH, DOR FRXH+, DOR XC, DOR XH, DOR XH+, DOR XM exists in a room without IRM DORHX* or IRM DBX* (Except R (Remove and Refit) the R activity should not flag a result in any situation), then report.

Factor and Type of Loss

Goal: Informs user when a coverage factor is greater than zero, and the type of loss is not among the types of loss approved by the carrier to allow a coverage factor. The user must change either the type of loss or factor, or enter a by-pass note.

Rule: This estimate has a factor greater than zero in a type of loss where that is not allowed. Please consider changing the factor or type of loss, or enter a by-pass note.

Flooring Removal

Goal: Make us aware of any case where flooring waste is included in the removal quantity (no need to remove waste material - applies to replace/installation only).

Rule: If the total area (M2) of vinyl floor removal (FCV * - (Remove) except FCV UL*, FCV AVALR), resilient floor removal (FCR* - (Remove)), wood floor removal (FCW* - (Remove)), tile floor removal (FCT* - (Remove) except FCT S*), stone floor removal (FCS* - (Remove)), carpet removal (FCC * - (Remove) except FCC PAD*), or carpet pad removal (FCC PAD* - (Remove)) or underlayment and vinyl removal (JNS UL* - (Remove) and FCV* - (Remove) exceeds the area of flooring (F) in the room, then report.

* Exclude FCV UL* (underlay) and FCV AVALR (Tear out additional layer of vinyl floor covering), as of 19-March-2011.

Flooring Waste

Goal: When the waste rule is set to run automatically, waste is automatically added to carpet and vinyl flooring items. When the waste rule is set to run manually, the user is given the opportunity in the waste form to add a custom waste percentage to each applicable item, or to add the default waste percentage specified by the carrier.

Rule: Flooring items exist that should have waste. It is recommended that you run the waste tool to add the appropriate waste to the items.

General Contractor Overhead and Profit

Goal: Informs user when General Contractor's Overhead and Profit (GCO&P) has not been included in the estimate. The user must review the General Contractor's Overhead and Profit and determine if it should be included as per Operational Guidelines.

Incomplete Forms

Goal: Informs user when an invoice update is needed: If Invoice, Claim Summary, and Damage forms are all more current than the last time the estimate changed to in progress, then an update is not needed. This rule is for estimates with a type of loss other than hail or wind. The user must update the invoices before completing the estimate.

Rule: One of the following forms has not been completed: Vendor Invoice and Claim Summary. It is recommended that you review this information before completing the estimate.

Goal: Make us aware of any case where the number of interior doors does not match the number of interior locksets.

Rule: If the number of doors in a room (DOR AV, DOR AV+, DOR AV-, DOR AVH, DOR AVH+, DOR AVS, DOR AVS+, DOR GLH, DOR GLH+, DOR GLS, DOR GLS+, DOR GLW, DOR GLW+) does not match the number of locksets in the room (IRM DORH, IRM DORH+, IRMDORHRF, and IRM DORDH*) then report.

Remove Sink & Hardware

Goal: Make us aware of any case where removing a tap and/or waste disposal unit is used in the same room as removing a sink (removing tap and disposal take no additional effort).

Rule: If removing a tap item or garbage disposal (PLM TAP* - (Remove), or APP WDU* - (Remove)) are used in the same room as removing a sink (PLM SNK* - (Remove)) then report.

Remove Toilet & Seat

Goal: Make us aware of any case where removing a toilet is used in the same room as removing a toilet seat (removing toilet seat takes no additional effort).

Rule: If removing a toilet (PLM TLT* - (Remove)) is used in the same room as removing a toilet seat (PLM TLTS* - (Remove)) then report.

Refit Doors & Hardware

Goal: Make us aware of any case where removing and refitting a door is used in the same room as removing and refitting any type of hardware mounted to the door (refitting door hardware takes no additional effort).

Rule: If removing and refitting a door (DOR AV* R (Refit) or DOR FR* R (Refit) or DOR XRF or DOR DORRF) is used in the same room as refitting any type of hardware mounted to the door (IRM D* R (Refit) or IRM DORHRF or IRM KNOCK* R (Refit) or IRM KNOCKRF or IRM DV* R (Refit)) then report.

Refit Light Fixtures

Goal: Make us aware of any case where removing and refitting a hanging or recessed light fixture and/or ceiling fan has been used in conjunction with painting of the ceiling.

Rule: If removing and refitting a ceiling mounted light fixture or ceiling fan (LIT AV* R (Refit) or LIT CHAN* R (Refit) or LIT CHANRF or LIT CHANCRF) appears in the same room with ceiling painting (PNT P, PNT PP, PNT P2) then report.

Refit Sink & Hardware

Goal: Make us aware of any case where removing and refitting a tap is used in the same room as removing and refitting a sink (these processes should be combined as they take no additional effort).

Rule: If removing and refitting a tap item (PLM TAP* R (Refit)) is used in the same room as refitting a sink (PLM SNK* R (Refit) or PLM SNKRF or PLM SNKDRF) then report.

Refit Toilet & Seat

Goal: Make us aware of any case where removing and refitting a toilet is used in the same room as removing and refitting a toilet seat (refitting a toilet seat takes no additional effort).

Rule: If removing and refitting a toilet (PLM TLT* R (Refit) or PLM TLTRF) are used in the same room as refitting a toilet seat (PLM TLTS* R (Refit) or PLM TLTSRF) then report.

Roof Felt Overlap

Goal: Make us aware of any case where roof covering is included and roofing felt is also included.

Rule: If the following roofing codes exist on the same roof surface with a separate entry for roofing felt (RFG SLATE, RFG SLATE+, RFG ST, RFG ST+, RFG TLC, RFG TL exist with RFG FELT*) then report.

Roofing

Goal: Make us aware of any case where roof covering waste is included in the quantity of roof covering to be removed (waste material applies to replace/installation only).

Rule: If the quantity of roofing removal equals or exceeds the quantity of roofing replacement [RFG ST - (Remove), RFG ST+ - (Remove), RFG STS - (Remove), RFG STS+ - (Remove), RFG SLATE* - (Remove), RFG TLC* - (Remove) (Except RFG TLCE, RFG TLCLE, RFG TLCRE, RFGTLCRE)] exceeds or equals [RFG ST + (Replace), RFG ST+ + (Replace), RFG STS + (Replace), RFG STS+ + (Replace), RFG SLATE* + (Replace), RFG TLC* + (Replace) (Except RFG TLCE, RFG TLCLE, RFG TLCRE, RFG TLCRE)] then report.

Roofing Depreciation with IV endorsement

Goal: Some insurance policies are written with endorsements that limit settlement for roof damage claims to non-recoverable depreciation only - no replacement benefits apply. Adjusters should not provide an estimate with no depreciation applied nor with recoverable depreciation.

Rule: This policy has an IV roof endorsement. Roofing items exist that may require non-recoverable depreciation. Please review the policy, age/condition of the roofing items, and the estimate to ensure depreciation is applied appropriately.

Room Size

Goal: Make us aware of any case where it appears the user probably included an additional digit in a dimensioning field (e.g., 110m instead of 11m).

Rule: If there are any rooms in an estimate (excluding rooms that have no items, and any rooms with the label of "attic", "basement", "exterior", "general" "roof", "warehouse", "pool enclosure", "atrium", "computer", "library", "cafeteria", "conference", "display", "exam", "lobby", "media", "meeting", "sales" or "show") whose area of floor (F) is greater than 75 square metres or greater than 120 square metres for a "garage", then report.

Upgrade Items

Goal: Notifies the user when the estimate contains upgrade items with a total amount that is less than the item(s) they upgrade. These upgrade items will not contribute to the estimate totals and may result in inaccuracies. The user should correct or remove these items, or carefully review the estimate totals.

Vendor Invoice Supplements

Goal: Informs user when a supplemental invoice references an invoice which does not exist. The user must remove the orphaned invoice.

Rule: Estimate contains Vendor Invoice Supplements for which there are no original Vendor Invoices. Please correct these supplemental estimates before completing the estimate.

Visit Base Service Charges Tab

Goal: Notifies user that the Base Service Charges tab in Estimate Items has not yet been visited. Once the user has reviewed the Base Service Charges, the result is eliminated, regardless of whether changes are made or not.

Rule: The Base Service Charges tab in Estimate Items has not yet been visited. Please review the Base Service Charges shown below, and make changes if needed.

Zero Quantity or Unit Cost

Goal: Informs user when the quantity or unit cost of any item is 0. The user must adjust the quantity or unit cost, or enter a by-pass note.

Rule: Items have a quantity or unit cost of zero. It is recommended that you increase the quantity or unit cost of the items in question.

Estimate Audit Algorithms

Rule: If (DORBF, DORBFF, DORBFH, DORBFH+, DORBFS, DORBFS+) exist in the same room as (IRM BFT), then report.

Business Property

Goal: Make us aware of any business property items that are attributed to the incorrect coverage or sublimit.

Rule: If business property items seem to be attributed to the incorrect coverage or sublimit, then report.

Cabinets

Goal: Make us aware of any case where the total lineal measurement of wall and full height cabinets or the total lineal measurement of base and full height cabinets is greater than the lineal measurement of the walls in a room.

Rule: If the total lineal measurement (LM) of wall and full height cabinets (KBU WAL* + KBU T*) or the total lineal measurement (LM) of base and full height cabinets (KBU BAS* + KBU T*) is greater than the lineal metres of the walls (PF) in a room, then report.

Coverage Limit Exceeded

Goal: Notifies the user when the Coverage Policy Limit(s) has been exceeded. If the Limit is not modified the estimate total will be reduced, not to exceed the policy limit.

Coverage Name

Goal: Informs the user when a coverage name is blank. The user must enter a name for the coverage.

Door Hardware (Removal)

Goal: Make us aware of any case where doors are listed for removal in the same room where door hardware (which should come off with the door without added effort) is also listed for removal.

Rule: If the removal of any door line item (DOR * - (Remove)) and the removal of any finish hardware line item for doors (IRM D* - (Remove) (Except IRM DSTP*) or IRM KNOCK* - (Remove)) is found in the same room, then report.

Plaster

Goal: Make us aware of any case where the total area of texture, and/or plaster is greater than the area of the walls and ceilings in a room.

Rule: If the total area (M2) of plaster (PLA DL12, PLA DL12+, PLA DL12M, PLA DL15, PLA DLSF, PLA P12, PLA P12F, PLA P2, PLA P2>, PLA PSC, PLA TEXH, PLA TEXR, PLA TEXS, PLA TEXSP) is greater than the area of the walls and ceilings (WC) in a room, then report.

Plaster for Un-dimensioned Room

Goal: Make us aware of any case where texture, and/or plaster have been used in an un-dimensioned room.

Rule: If plaster (PLA DL12, PLA DL12+, PLA DL12M, PLA DL15, PLA DLSF, PLA P12, PLA P12F, PLA P2, PLA P2>, PLA PSC, PLA TEXH, PLA TEXR, PLA TEXS, PLA TEXSP) exists in a room and the area of the walls and ceilings (WC) is zero, then report.

Duplicate Dumpster With Roofing Removal

Goal: Informs user when a separate dumpster item and a "tear off, haul, and dispose" roofing item exist in the estimate. The user must remove the separate dumpster item, change the roofing item to one that does not include hauling off the removed material, (no haul off), or enter a by-pass note.

Duplicate Minimums

Goal: Make us aware of any case where multiple "Minimum Trade Rate" items which use the same labor code exist in the estimate.

Rule: If more than one minimum charge *MN exists in the estimate with the same labor code, then report.

ECS Download

Goal: Informs user when ECS Download has not yet been completed for the estimate. To download, the user must click on the ECS Download button in the inspection window.

Excessive Minimum Charges

Goal: Informs user when the total number of minimum charges existing in the estimate is equal to, or exceeds the limit set by the carrier. The user must reduce the excess minimum charge items, or enter a by-pass note.

Rule: There are excessive minimum charge items. It is recommended that you reduce the number of minimum charges.

Exterior Lockset & Deadbolt

Goal: Make us aware of any case where an "exterior lockset" or "deadbolt" and an "exterior lockset with deadbolt" are present in this room. These items should not exist in the same room.

Rule: If (IRM DORHX*, IRM DB-, IRM DB, IRM DB+, IRM DBRF) exist in the same room as IRM DBX*, then report.

Firearms

Goal: Make us aware of any firearms that are attributed to the incorrect coverage or sublimit.

Rule: If firearms seem to be attributed to the incorrect coverage or sublimit, then report.

Floor Calculation

Goal: Informs user when the Sketch flooring wizard was not used to add flooring items: If flooring items are entered with a variable other than FLR_RPL (for replace items), or FLR_RMV (for remove items), then the Sketch flooring wizard was not used and the items were entered manually. The user must re-enter the flooring items through the wizard or enter a by-pass note.

Rule: Flooring items are required to use a flooring algorithm in the calculation. It is recommended that you use "FLR_RPL" for the replace action, and "FLR_RMV" for the remove action on flooring items.

Flooring

Goal: #1: Make us aware of any case where the total area of vinyl tile, stone, ceramic, or slate tile, and wood flooring in a room is greater than the area of flooring. These items are estimated, and sold on a square metre basis, and include waste within the line item price.

#2: Make us aware of any case where the total area of carpet and/or vinyl sheet goods found in a room is greater than the total floor area * 1.15 (15% greater than room size). The industry standard for estimating with flooring which is purchased off a "roll" is to account for waste by increasing the quantity of the item. The percentage of increased quantity should vary depending on room size, shape, and complexity of any patterns in the flooring. And while in some cases needs to exceed 15%, this is just a general guideline.

#3: Make us aware of any case where the waste for sheet good items (carpet and vinyl) exceeds 15% in rooms where a combination of sheet good and square metre flooring items are used.

Rule: If the total area (M2) of vinyl tile, plus stone tile, plus ceramic tile, plus slate tile, plus wood flooring (FCR TRU, FCR TV*, FCV V*, FCS MBL*(except FCS MBLP), FCS SLT*, FCT AV*,FCT QT*, FCT TRAV, FCW AV*, FCW LAM*, FCW PQ*, FCW SOFT*, or FCW PQ*) in a room is greater than the area (F) of flooring, then report.

OR if the total area (M2) of carpet, plus vinyl sheet goods (FCC AV*(except FCC AVB), FCC LAY*, FCC WOOL*, and FCV AV*) in a room is greater than the total (M2) of floor area * 1.15 then report.

OR if the total area of (M2) vinyl tile, plus stone tile, plus ceramic tile, plus slate tile, plus wood flooring (FCR TRU, FCR TV*, FCV V*, FCS MBL*(except FCS MBLP), FCS SLT*, FCT AV*, FCT QT*, FCT TRAV, FCW AV*, FCW LAM*, FCW PQ*, FCW SOFT*) plus carpet, plus vinyl sheet goods (FCC AV* (except FCC AVB), FCC LAY*, FCC WOOL*, FCV AV*) is greater than the area of the room plus the area of all carpet and vinyl sheet items * .15 then report.

Ice & Water Shield and Felt Overlap Exceeds Area of Roof

Goal: Informs user when the total amount of ice and water shield items and roof felt items exceed the square footage of the roof. The user must decrease or eliminate one or more of the items in question, or enter a by-pass note.

Rule: The square feet of ice & water shield items and roofing felt exceed the area of roof. It is recommended that you decrease or eliminate one or more of the items in question.

Items not covered by FEMA Flood policy

Goal: Informs the user when items exist in a basement that may not be covered by a FEMA Flood policy. The user is encouraged to review the items in the basement.

Rule: Items exist in a basement that may not be covered by a FEMA Flood policy. Please review the items in the basement.

Jewelry

Goal: Make us aware of any jewelry items that are attributed to the incorrect coverage or sublimit.

Rule: If jewelry items seem to be attributed to the incorrect coverage or sublimit, then report.

Large Quantity

Goal: Make us aware of any Contents items that have a large quantity

Rule: If a Contents item has a quantity greater than or equal to ten, then report.

Minimum Charge Item and Another Item of the Same Category Ex

Goal: Informs user when a minimum charge item for a given category AND an item of the same category exist in the estimate. The user must remove the minimum charge item, or enter a by-pass note.

Rule: A minimum item and another item of the same category have been added to the estimate. It is recommended that you remove the minimum charge item.

Money

Goal: Make us aware of any "money" items that are attributed to the incorrect coverage or sublimit.

Rule: If "money" items seem to be attributed to the incorrect coverage or sublimit, then report.

Overhead & Profit

Goal: Informs user when there are specific line item categories (specified by the carrier), that exist in the estimate with overhead or profit applied to the items. The user must remove the overhead and profit from the specified category items, or enter a by-pass note.

Rule: Overhead or Profit exists on items belonging to a category which has been specified should not have Overhead or Profit. Please review the Overhead and Profit for these items.

Policy Limit & Deductible

Goal: Informs user when a policy limit or deductible has not been set for 'Building' or 'Personal Property' coverage types. The user must set the policy limit and deductible for these coverage types.

Policy Type is Empty

Goal: Informs the user when a policy type has not been selected.

Restored Drywall Overlap

Goal: Make us aware of any case where a non-salvageable drywall tear out item and a drywall removal item of the same square footage exist in the same room.

Rule: If the square footage (SF) of a non-salvageable drywall tear out item (WTRDRYW* Except WTRDRYWG*) equals the square footage (SF) of another drywall removal item in the same room (DRY * - (Remove)), then report.

Restored Flooring Overlap

Goal: Make us aware of any case where a non-salvageable flooring tear out item and a flooring removal item of the same flooring type and same square footage exist in the same room.

Rule: If the square footage (SF) of a non-salvageable carpet tear out item (WTRFCC*) equals the square footage (SF) of another carpet removal item in the same room (FCC* - (Remove) except FCC PAD*, FCC PFE, FCC PRE3/8),

or the square footage (SF) of a non-salvageable vinyl floor tear out item (WTRFCV*) equals the square footage (SF) of another vinyl floor removal item in the same room ((FCV ULVR - (Remove), FCV* - (Remove) except FCV AVALR, FCV UL*)),

or the square footage (SF) of a non-salvageable wood floor tear out item (WTRFCW* except WTR FCWL*) equals the square footage (SF) of another wood floor removal item in the same room (FCW* - (Remove) except FCW GADD*, FCW FS*, FCW BARR*, FCW LAM, FCW LAM-, FCW LAM+, FCW LAMSL, FCW LAMSL-, FCW LAMSL+, FCW NFCPLAM, FCW NFCPSN, FCW UC*, and FCW US*),

or the square footage (SF) of a non-salvageable laminate floor tear out item (WTR FCWL*) equals the square footage (SF) of another laminate floor removal item in the same room (FCW NFCPLAM - (Remove), FCW NFCPSN - (Remove), FCW LAM* - (Remove) except FCW LAMTD*), then report.

Rewire/Rough Plumbing

Goal: Make us aware of any case where square footage of Rewire or Rough Plumbing is greater than the total square footage of the room.

Rule: If the square footage (SF) of Rewire (ELE REWIR*) or the square footage (SF) of Rough Plumbing (PLM ROUGH*) is greater than the total square footage of the room, then report.

Roof - Gable/Gambrel Waste

Goal: This rule checks roofing items (Composition Shingles, Wood Shakes, Tile, Slate, Membrane, Roll, Misc., etc.) applied to Gable/Gambrel roof clusters. If the waste factor added in the calculation or using the item property editor is anything but the setting specified by the carrier, then a result occurs. Add, and replace activities are affected by this rule. The user must adjust the waste factor, or enter a by-pass note.

Rule: Roofing items applied to a Gable/Gambrel roof are required to have a specific % waste. It is recommended that you add the correct % waste to this item using the item property editor or as a factor in the calculation.

Roof - Hip/Dutch Hip Waste

Add, and replace activities are affected by this rule. The user must adjust the waste factor, or enter a by-pass note.

Rule: Roofing items applied to a Hip/Dutch Hip roof are required to have a specific % waste. It is recommended that you add the correct % waste to this item using the item property editor or as a factor in the calculation.

Roof - No Waste

Goal: This rule checks roofing items (Composition Shingles, Wood Shakes, Tile, Slate, Membrane, Roll, Misc., etc.) for waste factors. If no waste factor is added in the calculation or using the item property editor then a result occurs. Add, and replace activities are affected by this rule. The user must add waste to the items in question, or enter a by-pass note.

Rule: There is no waste applied to a roofing item. It is recommended that you apply waste to roofing items using the item property editor or as a factor in the calculation.

Securities/Documents

Goal: Make us aware of any securities/documents that are attributed to the incorrect coverage or sublimit.

Rule: If securities/documents seem to be attributed to the incorrect coverage or sublimit, then report.

Tax Jurisdiction is Empty

Goal: Informs the user when a tax jurisdiction has not been selected.

Rule: Informs the user when a tax jurisdiction has not been selected.

Underlayment

Goal: Make us aware of any case where the total area of underlayment is greater than the area of floors in a room.

Rule: If the total area (M2) of flooring underlayment (JNS UL*) is greater than the area of floors (F) in a room, then report.

Unit Cost of High Dollar Item Has Been Modified

Goal: Informs user when an item's unit cost has been modified, and exceeds a threshold value specified by the carrier. The user must remove the item, reduce the unit cost, or enter a by-pass note.

Rule: The unit cost of an item has been modified and exceeds the carrier's threshold. It is recommended that you review the unit cost of the item in question.

Wall Covering

Goal: Make us aware of any case where the total area of wall coverings such as wallpaper, paneling, wall tile, and painting is greater than the area of the walls and ceilings in a room.

Rule: If the total area (M2) of wallpaper, paneling, wall tile, and painting (WPR AV, WPR AVP, WPR LPP, WPR WC, WPR GRASS*, WPR V*, TIL AV*, PNT P, PNT PP, PNT ES*, PNT EV*) is greater than the area of the walls and ceilings (WC) in a room, then report.

Wall Covering Removal

Goal: Make us aware of any case where the quantity for the additional charge to remove non-strippable wallpaper exceeds the quantity of wallpaper being removed.

Rule: If the quantity for the additional charge to remove non-strippable wallpaper WPR RMV -(Remove) exceeds the quantity of wallpaper being removed WPR AV* (except WPR AVRL*) - (Remove) or WPR GRASS* - (Remove) or WPR V* - (Remove) then report.

Zero Quantity

Goal: Make us aware of any case where the quantity or unit cost of any item is 0.

Rule: If the quantity or unit cost of any line item is zero, then report.
